Officer Job Descriptions
These are the descriptions of the Ann Arbor AWC chapter's officers' jobs.
All this "Article IV" stuff looks a little intimidating, but if you read
what's here you'll find that a lot of the posts are fairly simple jobs
like "greet people when they arrive at meetings". The idea is to keep the
jobs simple.
Here are the descriptions:
ARTICLE IV. OFFICERS
A. The officers of the Chapter shall be a President, a Vice
President, a Vice President for Programs, a Vice President for
Membership, a Vice President for Publicity, a Secretary, and
the Treasurer. In addition, the Board may appoint such other
officers as it may choose. Examples of other officers may
include Database Administrator, Newsletter Editor, and
Webmaster.
B. The duties of the President shall be:
1. To preside at all meetings of the membership and the Board of
Directors (BOD).
2. To provide general leadership and direction for the activities
of the Chapter.
3. To represent the Chapter to other organizations and agencies.
4. To appoint committee chairs, if any, after consultation with
the Board of Directors.
C. The duties of the Vice President shall be:
1. To preside at meetings when the president cannot.
2. To assist the president as needed.
3. To represent the chapter to other organizations and agencies.
4. To work with Vice Presidents on the functions of their
committees, as needed.
D. The duties of the Vice President for Programs shall be:
1. To form a committee to assist in program functions.
2. To propose for BOD approval a program of activities for the
chapter year, currently 4 speakers per year. This program will
include a transition period to allow a successor initial
planning time.
3. To arrange for facilities for chapter meetings, programs and
other activities.
E. The duties of the Vice President for Membership shall be:
1. To form a committee to assist in Membership functions.
2. To maintain the membership list of the Chapter.
3. To plan and lead programs to promote new memberships and
renewals for the Chapter and AWC.
4. To welcome people to meetings at a welcome table.
5. To make a list of the people who attended each meeting.
F. The duties of the Vice President for Publicity shall be:
1. To form a committee to assist in Publicity functions.
2. To identify local publications, TV stations, radio stations,
and other sources which can be used to announce the activities
of the chapter.
3. To notify local publications and other organizations of meeting
times, dates and locations well in advance of those meetings.
4. To submit articles about AWC to local media.
G. The duties of the Secretary shall be:
1. To prepare minutes of all meetings of the BOD and meetings of
the chapter membership (excluding program meetings).
2. To provide copies of BOD minutes to other members of the BOD,
and chapter meeting minutes to the membership, electronically
via e-mail the day after the meeting, and to send a copy of the
minutes to the webmaster to be posted on the chapter's website.
3. To receive and archive records of all Chapter activities,
other than those maintained by the Treasurer.
4. To prepare all non-financial reports as required by AWC.
5. To certify the election of officers to AWC and to financial
institutions.
6. To receive and distribute all incoming correspondence to the
appropriate officer. Correspondence relative to policy matters
shall be referred to the President.
7. To prepare official correspondence for the Chapter.
8. To prepare and transmit official notices of meetings by e-mail
as required by these Bylaws and other chapter directives.
9. For those meetings that have an agenda, to post copies of the
agenda electronically before the meeting.
H. The duties of the Treasurer shall be:
1. To receive and bank all monies due to the Chapter; to disburse
monies according to the Budget established by the BOD.
2. To forward changes in membership to the Treasurer, AWC.
3. To certify regular members in connection with petitions, ballots,
election of officers, and any other procedures which requires the
determination of membership and voting status.
4. To maintain all financial records of the chapter.
5. To prepare an Annual Budget for recommendation to the BOD at
the first meeting after the start of the fiscal year.
6. To prepare and submit tax and other financial reports as required
by AWC.
7. To prepare an annual balance sheet and financial statement of
operations for inclusion in the Chapter's Annual Report.
ARTICLE V. CHAPTER BOARD OF DIRECTORS
A. The Chapter Board of Directors shall be comprised of the
current officers (elected and appointed) of the Chapter and the
immediate Past President.
B. The Chapter BOD shall approve the Annual Budget at their first
meeting of the fiscal year. Amendments to the approved budget
must be approved by the BOD.
C. A majority of the BOD, at least two of whom must be elected
officers, shall constitute a quorum.
D. Issues before the BOD shall be decided by a simple majority of
those voting.
